ScoutHub ("we", "us", or "the Service") is a troop management platform operated on behalf of our troop. This Privacy Policy explains what personal information we collect, how we use it, and the choices you have.
1. Information We Collect
- Account information: name, email address, and role (admin or member) provided when you are invited or register.
- Roster data: scout and adult leader records, including names, contact details (phone, email, address), parent/guardian information, patrol assignments, rank, and leadership positions.
- Activity data: event attendance, RSVPs, advancement and merit badge progress, and financial ledger entries (dues, fees, reimbursements).
- Communications: messages and announcements sent through the Service, including sender name and recipient lists.
- Photos & documents: event photos and troop documents you upload. Photos may be flagged or removed by moderators.
- Usage data: log activity recorded for audit and security purposes.
2. How We Use Your Information
- To operate the troop: manage rosters, patrols, events, attendance, advancement, and finances.
- To communicate with members and families about troop activities, announcements, and events.
- To verify identity and authorization before granting access to troop data.
- To maintain records required by our chartering organization and Scouting America guidelines.
- To enforce Youth Protection policies, including the two-recipient rule for group communications.
3. Legal Basis for Processing
We process your information on the basis of your consent (given when you accept this policy), to perform our duties in operating the troop, and to comply with legal obligations applicable to youth-serving organizations.
4. Sharing & Disclosure
Access to personal information is restricted to authorized troop leaders and members. We do not sell or rent your data. Information may be shared with our chartering organization or Scouting America where required, or where compelled by law.
5. Youth Privacy
The Service may hold information about scouts under 18. Parent or guardian consent is required for a scout's information to be stored. Parents may request review or removal of their child's data at any time by contacting your troop leadership.
6. Data Retention
We retain roster and activity records for as long as needed to run the troop and meet recordkeeping requirements. Alumni and inactive records may be retained or deleted at the troop's discretion.
7. Your Rights
- Request access to, correction of, or deletion of your personal information.
- Withdraw consent for communications or photo use.
- Object to processing of your data.
To exercise these rights, contact your troop leadership.
8. Security
Access is protected by authentication and role-based permissions. Only approved members can view troop data. Despite these measures, no system is perfectly secure, and we cannot guarantee absolute security.
9. Changes to This Policy
We may update this policy from time to time. Material changes will be reflected by an updated "Last updated" date and, where significant, a new acceptance prompt within the Service.
